Inbound customer orders arrive as email body text, spreadsheets, PDFs and scanned documents. The Xfuze Order Intake Agentic Application interprets them and raises the relevant product orders and quantities on behalf of the procurement and commercial teams, handling the manually intensive cases: customer-specific part numbers, discontinued codes and order data issues.

The application is a suite of three agents that turns those messages into confirmed orders, with a person authorising every one.

Xfuze Order Processing Agent
Runs unattended on a monitored order mailbox. It takes each message and its attachments as a single order request, decides whether it is an order at all, and builds a structured draft: customer and delivery location identified against the customer master, every line matched to a current, orderable product, customer and legacy part numbers resolved, discontinued codes mapped to their replacements, and quantities resolved against pack configuration. Every line is scored. Anything needing judgement is flagged with the reason and a ranked list of candidate resolutions with the evidence behind each. It never invents a product, customer or quantity to avoid an exception, and never matches to a delisted or blocked item. It does not submit orders.

Xfuze Order Review Agent
The queue your team works. Reviewers are taken straight to the lines needing judgement, with the customer’s original wording, the agent’s interpretation and the supporting reference data on screen together. Changes are validated as they are made, and nothing submits while anything is unresolved. On submission the order goes to the order management system and the returned order number is shown as proof of receipt. A failed submission is never shown as a success, and resubmitting a draft cannot create a duplicate order. Every correction is captured and fed back into matching, so the same case needs a person less often.

Reporting only, over what the other two agents record. Performance for any period, including the proportion of lines and orders needing no human touch, average time a person spent per order, exception rate by type, submission success rate, and time from arrival to confirmation. Open any figure to get the orders behind it. The full history of any single order, from how it arrived to who approved it and what they changed. Current failures and alerts, routed to the team that owns them. And the rules the automation has learned from reviewer corrections, where a supervisor can amend or withdraw one that is wrong.

Governance and control
The application comes with the Xfuze AI Control Tower, where every agent you run is registered, scoped to the data it can access and the actions it can take, and monitored in one place. Access is scoped by role throughout: submission rights are held separately from viewing rights, and reporting access does not imply the right to review, submit or change rules. Every action is recorded: who opened an order, what changed from what to what and who approved it. Instructions embedded in an inbound message or its attachments are treated as content to be interpreted, never as instructions to act on. Only the data needed to place the order is retained.
